Four kinds of record

Facilities
The spaces you occupy, owned or leased, with their key dates.
Assets
Equipment and property of value: vehicles, technology, anything worth tracking or insuring.
Vendors
Who services and supplies you, with what they cost and when the contract ends.
Procurement requests
Somebody asking to buy something, and what happened to the request.

The dates are the whole point

Lease expiry, insurance renewal, vendor contract end, warranty expiry, inspection due. All of them reach your Deadline Board if they are recorded, and none of them do if they are not.

Assets and the audit

  • Record purchase date and value. Depreciation, insurance claims, and grant reporting on funded equipment all need them.
  • Note which grant paid for an asset. Funders sometimes retain an interest in what they bought, and reconstructing that years later is genuinely difficult.
  • Keep vendors current. A vendor list that still holds the security company you left in 2023 is the reason somebody calls the wrong number in an emergency.
