What a connection means here

That honesty is worth understanding before you plan around an integration. "Connected" and "syncing your data" are different things, and the tool distinguishes them because the alternative is you discovering the difference during a reporting deadline.

Credentials

  • Use a service account rather than a personal one where the provider allows it. A connection that breaks when one person leaves is a connection that will break.
  • Grant the narrowest permission the integration needs. Read-only is usually enough.
  • Disconnect what you stop using. A live credential for a system nobody watches is the definition of an unnecessary risk.

Importing donors from a CRM

The most used thing here is the spreadsheet import for donors and their giving history. It matches against people you already have rather than creating a second copy of everybody, and it shows you the matches it proposes before writing anything. See Bringing your records in.
